Privacy Policy

In order for First Light Bicycle Tours to provide an excellent service to travelers who take a tour with us, we ask for certain information. We promise to respect your privacy, keep your information confidential and never to sell your address or private information to any commercial parties.

We use a secure server with the latest encryption software to protect your online information from unwanted eyes. Any information you provide on our website is treated as securely as our phone or mail channels when booking a tour and kept in the strictest confidence.

We ask for basic information such as your name, phone number and credit card number and expiration date so that we can contact you, accurately identify you and process your booking request. We do not store credit card details nor do we share customer details with any 3rd parties.

Height, gender and age information is also requested so that we can properly fit you to the right bicycle and/or match you with a roommate of the same-sex and similar age group in the event you are traveling solo and wish to share a room with another traveler.

We ask you to provide any personal preferences you may have in order to provide you with the highest standard of personal service. We don’t promise the moon, but we’ll certainly try hard to satisfy your request.  In addition, some travelers have special considerations regarding what they eat. By knowing this in advance, we can alert the Trip Guides to more easily accommodate these needs whenever possible.

We also ask you to provide any important dates or occasions such as birthdays, anniversaries, weddings, retirements or other dates that are important to you. This information is then passed on to the Trip Guides in advance of the trip. We keep records of this information so that you’re personal preferences and requests are accommodated on any future trips you take with us.

Policies, Procedures & Conditions

Cancellations and Refunds

If, for some reason you must cancel your reservation, the cancellation policy is as follows:

Unfortunately, we cannot make any exceptions to this policy for any reason, including personal emergencies or weather.

Please note:

There is no refund for arriving late or leaving a trip early, voluntarily or involuntarily. Single supplements are considered part of the trip price and are subject to cancellation fees. Should First Light be required to cancel a tour, for whatever reason, all tour payments received to date will be refunded, within 60 days, constituting full settlement. If First Light is required to cancel a trip within 30 days of departure due to low enrolment, civil unrest, natural disaster  or terrorism, First Light will provide a full refund.

First Light is not responsible for any expenses incurred in preparation for any cancelled trips, including non-refundable airline tickets, trip-related purchases made prior to the trip or for costs incurred due flight cancellation, illness or travel delays. First Light reserves the right to make route and hotel modifications as needed to ensure the safety and enjoyment of the travellers.

To have your reservation accepted, agree to the Limitation of Liability, Release, Assumption of All Risks and Arbitration Agreement at least 90 days prior to departure by clicking on the website link that you have read and agree to those terms. For reservations made within 90 days, agree to the Limitation of Liability, Release, Assumption of All Risks and Arbitration Agreement by clicking on the website link that you have agreed to those terms and provide a full payment with your reservation.

If the signed Limitation of Liability, Release, Assumption of All Risks and Arbitration Agreement is not received in the First Light office 30 days prior to the start of a trip, you will not be allowed to join the trip, First Light has the right to consider that reservation cancelled and it will be subject to First Light’s cancellation policy as described above. First Light further reserves the right to resell tour space if the Limitation of Liability, Release, Assumption of All Risks and Arbitration Agreement is not received within 30 days prior to start of trip.

If you decide to switch to a different trip you may do so within 60 to 90 days of your original departure date for a fee of € 100 per person. No changes can be made to your booking within 60 days prior to departure time, and the cancellation policy will apply. Trips can only be switched within the same calendar year.

Itinerary Changes

In the unlikely event of unforeseen circumstances requiring a change in the trip itinerary, First Light will make every effort to select alternative hotels of the same quality and keep the route modifications to a minimum.

Cancellation Insurance  

First Light strongly recommends that you purchase tour package cancellation insurance immediately after your reservation is confirmed. First Light also recommends airfare cancellation insurance which can be purchased when you buy your airline ticket. First Light does not recommend and cannot assume responsibility for losses incurred due to travellers using non-refundable airline tickets.

Terms & Conditions, Release of Liability, Release of All Risks and Arbitration Agreement

FIRST LIGHT BICYCLE TOURS, its employees, shareholders, subsidiaries, affiliates, officers, directors, successors, agents, and assigns (collectively FIRST LIGHT) does not own or operate any entity which is to, or does provide goods or services for your trip including, for example, lodging facilities, transportation companies, food service providers, equipment suppliers, babysitters or daycare providers, etc. As a result, FIRST LIGHT is not liable for any negligent or willful act or failure to act of any such person, or of any other third party.

In addition, I acknowledge that I have voluntarily applied to participate in the trip designated on this Reservation Form. I am voluntarily participating in this trip with the knowledge of the numerous risks and dangers involved including but not limited to: negligence on the part of FIRST LIGHT, physical exertion for which I am not prepared; forces of nature; transportation failures whether by plane, train, auto, boat, kayak, bicycle, by foot, or by any other conveyance; consumption of alcoholic beverages; risks associated with food or impure water; civil unrest; terrorism; criminal activity; dangers associated with wild or other animals; breakdown or failure of bicycles or other equipment; accident or illness without access to means of rapid evacuation or availability of medical supplies or services; the adequacy of medical attention once provided; and stolen, lost, or misplaced luggage or property. I acknowledge that the enjoyment and excitement of adventure travel is derived in part from the inherent risks incurred by travel and activity beyond the accepted safety of life at home or work and that these inherent risks contribute to such enjoyment and excitement, being a reason for my participation. I HEREBY AGREE TO BE RESPONSIBLE FOR MY OWN WELFARE AND ACCEPT ANY AND ALL RISKS OF DELAY, UNANTICIPATED EVENTS, INCONVENIENCE, LOSS, THEFT, DAMAGE, ILLNESS, INJURY, EMOTIONAL TRAUMA OR DEATH. I HEREBY AGREE TO PROVIDE MY OWN INSURANCE APPROPRIATE TO MY NEEDS AND THE NEEDS OF MY FAMILY OR DEPENDENTS IN RESPECT OF SUCH DELAY, UNANTICIPATED EVENTS, INCONVENIENCE, LOSS, THEFT, DAMAGE, ILLNESS, INJURY, EMOTIONAL TRAUMA OR DEATH.

I acknowledge that the cost of all FIRST LIGHT trips are priced on the basis of trip participants executing this Release of Liability, Assumption of All Risk, and Arbitration Agreement. Therefore, as lawful consideration for being permitted to participate on such trip(s), I hereby RELEASE AND DISCHARGE FOREVER FIRST LIGHT FROM AND AGAINST ANY AND ALL LIABILITY ARISING FROM MY PARTICIPATION IN THE TRIP. I agree that this release shall be legally binding upon me personally, all members of my family and all minors traveling with me, my and their heirs, successors, assigns, and legal representatives, it being my intention fully to assume all the risks associated with this trip and to release FIRST LIGHT from any and all liabilities to the maximum extent permitted by law.

I understand that FIRST LIGHT reserves the right to take photographic or film records of any of its trips and hereby agree that FIRST LIGHT, or their designate, may use any such photographic or film records for promotional and/or commercial purposes, as well as approve such use by third parties with whom FIRST LIGHT may engage in joint marketing, without any remuneration to me. I hereby assign all right, title, and interest I may have in or to any and all media in which my name or likeness might be used by FIRST LIGHT.

I understand that FIRST LIGHT reserves the right to decline accepting or retaining any trip participant, or remove from any trip, in FIRST LIGHT’S sole judgement, any person it judges to impede the operation of a trip, be incapable of meeting the rigors and requirements of participating in the activities, or who it determines to detract from the enjoyment and welfare of the trip by others. I agree to follow all written and verbal rules of safety presented to me by FIRST LIGHT.
Trip participants agree that FIRST LIGHT BICYCLE TOURS is the trustee of the respective rights of FIRST LIGHT under this Release. This Release of Liability, Assumption of all Risks and Arbitration Agreement will apply to a trip participant’s trip with FIRST LIGHT and any transfer of a reservation to another trip, including any pre-trip or post-trip extensions. This Release of Liability, Assumption of All Risks and Arbitration Agreement is binding upon all members of the participant’s family, dependants, estate, heirs, successors and legal personal representatives.

Binding Arbitration

I agree that any claim or dispute arising out of or relating to this Release of Liability, Assumption of All Risks and Arbitration Agreement or its interpretation, website, or other literature concerning my trip, the trip itself or the trip participant’s relationship with FIRST LIGHT shall be resolved exclusively by binding arbitration according to the then existing rules of the Chartered Institute of Arbitrators, International Arbitration Center, in London UK. Such proceedings will be governed by  English law excluding any application or consideration of the Chartered Institute of Arbitrators.
